Role

To provide administrative support to the training team

Accountable to: Administrative & Human Resource Coordinator

Exigences de l'emploi

Duties & Responsibilities

  • To assist the training team to design the training calendar on a quarterly basis.
  • To assist the training team to design the Mass Emailing Campaign (MEC) an a quarterly basis.
  • To analyse and follow up on the response/feedback (click & view reports) of every single MEC and report to the training team.
  • To analyse trends in click & view reports and feedback to the training team.
  • To initiate action for training once the minimum number of participants (six) is reached by the cutoff date.
  • To prepare the Training Check List as per the template.
  • To create a file for each training event which should include the course contents, the MQA letter of approval, the registration form, assessment results, power point presentation, pre & post tests, IDP template 
  • To assist clients in their G1 application.
  • To inform all participants about the postponement of any training if the minimum number of participant is not met.
  • To book training room (in house, clients’ premises or third party)
  • To send training requirements to each participants (pre-assignment, challenges, ARS test, HGMIT test, psychometric tests etc)
  • To inform the HRDC and the MQA  of the training at least three days in advance
  • To follow up for all training requirements from the participants
  • To prepare all reports as per templates
  • To prepare all training materials strictly according to the training check list
  • To check all training materials required for the training on the eve of the training
  • To welcome participants on the training day
  • To make participants feel at ease
  • To provide company profile to waiting participants
  • To provide training calendar to waiting participants
  • To offer refreshments to waiting participants
  • To call late running participants 5 minutes before the training to inquire about their whereabouts
  • To prepare PowerPoint slides as per trainer’s instructions
  • To double check for dietary requirements before the training
  • To take group photograph after lunch
  • To print group photograph for distribution
  • To compute scores for Best Participant
  • To print Best Participant certificate
  • To take individual photograph when remitting certificates
  • To send thank you note along with soft copies of photos on the next day following the training
  • To prepare Individual Development Plan (PDP)
  • To book appointments with HR practitioners to discuss individual PDP
  • To update Training O Meter (TOM)
  • To update Statement of Training Activity (SOTA)
  • To maintain and update a database of venues for training
  • To design a database of ALL training activities advertised
  • To maintain and update a database of participants
  • To monitor competitors’ activities
  • To maintain and update database of courses
  • To apply for course approval with MQA
  • To monitor expiry dates for centre, centre manager, programme officer and workshops
  • To order shields for Best Participants
  • To organize events for Certificate Award ceremonies and Best Participants
  • To provide management with sales analytics
  • To monitor progress of trainees through our tracer study system
  • To allocate students to tutors for SSEP
  • To liaise with clients’ for training at their premises
  • To build rapport with participants during tea breaks and lunch
  • To submit yearly return to the MQA
  • To attend events relating to the TVET sector
  • To build and maintain a database of Licensed Soft Skills Trainers
  • To advertise for The Master Class in Soft Skills Training on a regularly basis (monthly)
  • To monitor NSDP projects
  • To adhere to the Quality Assurance System of the training institution.
  • Any other related duties
